How to use Stock on Posibbolt

Stock Overview

What is Stock?

The goods or merchandise kept on the premises of a shop or warehouse and available for sale or distribution.

How do I do a stock adjustment on Posibolt?

Stock Adjustment is the increase or reduction made to the stock so that the actual quantity on hand matches the stock shown in the system – basically, a correction in the records so that they agree with the physical count.

  1. Log in to Posibolt and navigate the Posibolt Main Menu, on the right side you will see Menu options 
  2. Select Stock in the Main menu, navigate to the sub-menu and locate Activities, and then select the Stock Adjustment option under Activities to be redirected to the Stock Adjustment screen.
  3. Enter in a Barcode, or scan a Barcode, or a Description or Product Name, when you have completed the selection you will need to enter a quantity on the right side of the screen next to Qty and click Enter.
  4. If you want to save you can click save at the bottom right of the screen, or you can invoke a saved stock adjustment by entering a Document Number when you click invoke and/or click Complete to complete the Stock Adjustment.
  5. After clicking add csv you will see a menu box that will show you your stock, and you can click Choose file then navigate to the folder that has the csv file you want to upload, and click Open and your csv will populate and then click Import and your csv will be imported and populated on the screen.
  6. Please note all imports have a specific format and have to have specific columns present


How do I do a Physical Stock Take on?

Stock take refers to the process of physically checking stock levels for each product and material you sell to ensure that your data is up-to-date and accurate
  1. Log in to Posibolt and navigate the Posibolt Main Menu, on the right side you will see Menu options 
  2. Select Stock in the Main menu, navigate to the sub-menu and locate Activities, and then select the Stock Take (Physical Inventory) option under Activities to be redirected to the Stock Take screen.
  3. Enter in a Barcode, or scan a Barcode, or a Description or Product Name, or Invoke a previous Document Number and press Enter. when you confirm one item, locate the bottom right of the screen and click Search to search for the next product 
  4. Select the product(s) if there are multiple and press ENTER, and on the right side of the screen select the quantities of the products that have been counted and verified. 
  5. When you have recorded your products navigate to the left side of the screen and click Save to save the stock take.

If you have multiple stock take documents, they can be merged (merging combines 2 or more sheets of stock takes that are combined to make one sheet with the ones selected)




How do I do a physical stock take with a csv to upload or how do I save my physical stock take as a CSV on Posibolt?
  1. If you have an available csv you are able to import it, by locating the csv at the bottom of the screen.
  2. Click csv and more buttons will appear in the same area and then click add csv or save as csv (it will download the current items logged and recorded).
  3. After clicking Add csv you will see a a menu box that will show you your stock, and you can click Choose file and you navigate to the folder that has the csv file you want to upload and click open
  4. Your csv will populate and then click Import and your csv will be imported and populated on the screen.

How do I maintain my stock take on Posibolt?

Stock Take maintenance is the process of keeping the stock take up to date and/or completing them.
  1. Log in to Posibolt and navigate the Posibolt Main Menu, on the right side you will see Menu options 
  2. Select Stock in the Main menu, navigate to the sub-menus and locate Activities, and then select the Stock Take Maintenance option under Activities to be redirected to the Stock Take Maintenance screen.
  3. Select a Document status of the previous stock take(s) and for more details and filters navigate to the right side of the screen and click More then more options and filters will appear and you can check the Stock Take sheet.
  4. After you search there will be a list of documents with the filters you have put in, the yellow highlighted one is the selected one, and you can check mark the tick box and choose invoke or delete.
  5. For more options you can export the file by clicking pdf or csv and more featured for the documents are located at the bottom of the screen to complete to finish the stock take, or select 2 or more documents and click merge to merge stock takes, or clear stock take by selecting the document and click merge.



How you finish the stock take is dependent on your circumstances. after you merge and/or save your stock take, you either complete the stock take by clicking the "Complete" button at the bottom left side of your screen upon selecting your preferred or desired sheet(s) which will complete your stock take and adjust your stock accordingly. The other option is to click "Stock clearat the bottom left side of your screen upon selecting your preferred or desired sheet(s), this button will complete your stock take as well however it will cause any items/products not counted in the stock take to have a quantity of 0 stock on hand, therefore you must observe caution

Things to take note of
  1. If you have multiple stock take documents, they can be merged (merging combines 2 or more sheets of stock takes that are combined to make one sheet with the ones selected)
  2. The document status on the menus listed above can be changed to choose drafted, voided, completed, etc, and if you want to delete a stock take sheet all you do is select the sheet and it will be highlighted and you click delete, if you want to edit it, you click the document number in the first column of the table and allows you to see more options additional options and information
  3. Movement date and date of accounting are different, where movement date is the day on which changes occurred to the stock item and accounting date is the date of transaction of a stock item

How do I do Stock Removal on Posibolt?

Stock Removal, refers to removing stock items from inventory for reasons like damages, etc.

  1. Log in to Posibolt and navigate the Posibolt Main Menu, on the right side you will see Menu options 
  2. Select Stock in the Main menu, navigate to the sub-menu to locate Activities, and then select the Stock Removal option under Activities to be redirected to the Stock Removal screen.
  3. Enter in a Barcode, or scan a barcode, or a Description or Product Name and select the item, when you have completed the selection you will need to enter a Quantity on the right side of the screen next to Qty and click Enter.
  4. If you want to save you can click save at the bottom right of the screen, or you can Invoke a saved Stock Removal by entering a Document Number when you click invoke and/or click complete to complete the Stock Removal
  5. You can add via csv, by clicking add csv you will see a menu box that will show you your stock, and you can click Choose file and navigate to the folder that has the csv file you want to upload and click open your csv will populate and then click Import and your csv will be imported and populated on the screen.
Whenever you click a product, all the details of the product shows on the right side depending on the type of screen you are on, and in stock warehouse details, product information and more can be seen


How do I do a Stock Transfer on Posibolt?

Stock Transfer is a process of moving/transferring stock from one warehouse to another.

  1. Log in to Posibolt and navigate the Posibolt Main Menu, on the right side you will see Menu options 
  2. Select Stock in the Main menu, and navigate to the sub-menu to locate Activities, and then select the Stock Transfer option under Activities to be redirected to the Stock Transfer screen.
  3. Enter in a Barcode, or scan a barcode, or a Description or Product Name and select the item(s), when you have completed the selection you will need to enter a Quantity on the right side of the screen next to Qty and click Enter..
  4. On the same right side you will be able to select a warehouse you want to transfer the stock to, enter the Reference Number and any other details
  5. When complete, on the bottom right corner you are able to have more features
  6. If you want to save you can click save at the bottom right of the screen, or you can invoke a saved Stock Transfer by entering a Document Number when you click invoke and/or click complete to complete the Stock Removal.
  7. After clicking Add csv you will see a menu box that will show you your stock, and you can click Choose file and navigate to the folder that has the csv file you want to upload, and click Open then your csv will populate and then click Import and your csv will be imported and populated on the screen.


How do I do an inter-branch Transfer of Stock on Posibolt?

Inter-branch Transfer is a type of stock transfer that is from one branch to another.
  1. Log in to Posibolt and navigate the Posibolt Main Menu, on the right side you will see Menu options 
  2. Select Stock in the Main menu, navigate to the sub-menu to locate Activities, and then select the Stock Take option under Activities to be redirected to the Stock Take screen.
  3. Choose a filter to use; Enter in a Barcode, or scan a barcode, or a Description or Product Name, and select the item (these will be available on a drop-down menu.). You can add a date filter on the right side and click Search
  4. After the product is selected you will see a table with all the warehouses that you can divide the stock between or transfer stock to, you will see the quantity on hand and when you click a warehouse with stock and a table will pop up, you will be able to distribute the stock between warehouses/organisations by seeing the quantity at the top of the table and enter the quantities you want to use and click add to cart.
  5. Click View Cart at the bottom right of the screen and you will see all potential transfers then click Place Requisition to complete (You can view transfer history as well by clicking)


How do I do a Customer Shipment on Posibolt?

Customer is a method of delivering goods from the store to the customer directly, this is also know as dispatching goods .This is used when a customer places an order and does not take the goods immediately and requests a delivery or picks up at a later stage.


Prerequisites

In order to use this functionality, delayed delivery needs to be enabled whether you are doing a manual or automated shipment. (This needs a role configuration that enables delayed delivery).

  1. Log in to Posibolt and navigate the Posibolt Main Menu, on the right side you will see Menu options.
  2. Select Stock in the Main menu, navigate to the sub-menu to locate Activities, and then select the Customer Shipment option under Activities to be redirected to the Customer Shipment screen.
  3. On the screen you will see a textbox that shows enter the order number, it is located on the document generated from the sales order.
  4. On the right side of the screen, you can verify items and enter quantities and Shipper Information. Upon entering all the details, there complete button is located at the bottom right side of the screen.
  5. After clicking complete all the details of the shipment will appear, and you can click print to print the shipment details.

How do I do a Customer Shipment manually on Posibolt?

Customer Shipment refers to goods that can be shipped to a customer via courier

  1. Log in to Posibolt and navigate the Posibolt Main Menu, on the right side you will see Menu options 
  2. Select Stock in the Main menu, and navigate to the sub-menu and locate Activities, and then select the Customer Shipment (manual) option under Activities to be redirected to the Customer Shipment screen(manual).
  3. Navigate to the right side of the screen and enter the customer details, by entering the Customer Name, then under the Order Number section, you are able to enter in an order number.
  4. Alternatively enter in a Barcode, or scan a barcode, or a Description or Product Name and select the item with the desired quantity by entering it in and proceed doing so to populate the order manually (which is the main way)
  5. When you have entered everything and the order is ready, click Complete on the bottom right side of the screen to finish the report generation.

How do I do a Stock Transfer Requisition on Posibolt?

Stock Transfer Requisition refers to an inventory form that can be used by organisations to request and restock items in an organisation.

  1. Log in to Posibolt and navigate the Posibolt Main Menu, on the right side you will see Menu options 
  2. Select Stock in the Main menu, navigate to the sub-menu to locate Activities, and then select the Stock Transfer Requisition option under Activities to be redirected to the Stock Transfer Requisition screen.
  3. Enter in a Barcode, scan a barcode, or a description or Product Name, and click search, once you select the item(s) enter the Quantity on the right side of the screen and click Enter..
  4. Enter the Date the stock is required, add the Warehouse, enter in Comment if need be, and click complete at the bottom right side of the screen.
  5. If you want to save you can click save at the bottom right of the screen, or you can invoke a saved Stock Transfer Requisition that was saved by entering a document number when you click invoke and/or click complete to complete the Stock Transfer Requisition.
  6. You can add the Stock Transfer Requisition using a csv file, click the bottom left side of the screen, and click csv. After clicking add csv you will see a menu box that will show you your stock, and you can click Choose file and navigate to the folder that has the csv file you want to upload and click Open your csv will populate, and then click Import and your csv will be imported and populated on the screen and click Complete

How do I do a Locator Transfer on Posibolt?

A Locator Transfer Report is a report that shows the movement of stock from one locator to another in the warehouse.
  1. Log in to Posibolt and navigate the Posibolt Main Menu, on the right side you will see Menu options 
  2. Select Stock in the Main menu, navigate to the sub-menu to locate Activities, and then select the Locator Transfer option under Activities to be redirected to the Locator Transfer screen.
  3. Enter a Barcode, scan a barcode, or a Description or Product Name, and click search, once you select the item(s) enter the Quantity on the right side of the screen and click Enter
  4. After entering the Quantity, select the locators on the right side of the screen.
  5. You can add the Locator Transfer can be added by csv, click the bottom left side of the screen and click csv. After clicking Add csv you will see a menu box that will show you your stock, and you can click Choose file and navigate to the folder that has the csv file you want to upload, click Open your csv will populate, and then click Import and your csv file will be imported and populated on the screen and click Complete.



Reports: most of the reports have a similar filtering when you generate them.

The following are the filters used to generate the most reports report.

  • Group By: Grouping can help you find data quickly by organizing and providing a summary of search or filter results.

  • Product Category: Select a product category to evaluate the stock of all products in that category.

  • Price List: Select a sales or purchase price list from the drop-down, to evaluate the value of the stock.

  • Price: Determine if the report must display value with excluding or including tax.

  • Active: You can also evaluate the products that are active or not active in the system.

  • Warehouse: Valuate the products in a particular warehouse or all warehouses.

  • Organization: Search the stock valuation based on the Organizations.

  • Location: Search the products in a particular locator.

  • Valuation On: on a specific date 

  • Having Stock On: If you want to check if any product had stock on a past date, enter the date and set the condition for quantities.

  • UOM: You can filter the report using the Unit of measure of the products.

  • Quantity-You can select the type of quantities to filter the search.

  • Condition-You can set the condition for the quantities.

  • Quick Valuation: Choose a price list and select the quick valuation check box. This will display the total value of the selected items.

  • Show Cost: This will display the cost price of the stock. This feature is dependent on Role configuration, “Show Cost Price”.


How do I do a Stock Movement Report on Posibolt?

A stock movement report refers to a report that provides information about each transaction that affects the on-hand balance of a stock items, or range of stock items, during a specified time period.

  1. Log in to Posibolt and navigate the Posibolt Main Menu, on the right side you will see Menu options 
  2. Select Stock in the Main Menu, navigate to the sub-menu and then locate Reports, and then select the Stock Movement Report option under Reports to be redirected to the Stock Movement Report screen.
  3. Select the filters that you want to populate in your report, enter a barcode if you want a specific product, including every other field needed, and click search to generate the report. Please take note of the Document status.
  4. A list of products will appear which shows any stock movement within warehouses and more, and if you want specific details click the hyperlink of the product (the product name in blue in the table).
  5. You can view or export the report at the bottom right of the table, in the format you want by clicking the format (csv, pdf, excel) you need.


How do I do a Stock Valuation on Posibolt?

A stock valuation report refers to a report that shows inventory due for sale and shows you an analysis of both the quantity and the price of the inventory.

  1. Log in to Posibolt and navigate the Posibolt Main Menu, on the right side you will see Menu options 
  2. Select Stock in the Main Menu, navigate to the sub-menu to locate Reports, and then select the Stock Valuation option under Reports to be redirected to the Stock Valuation screen.
  3. Select the filters that you want to populate in your report, enter in a barcode if you want a specific product, including every other field needed, and click search to generate the report. 
  4. A list of products will appear which shows any stock quantities within warehouses, and more, and if you want specific details click the hyperlink of the product (the product name in blue in the table).
  5. You can view or export the report at the bottom right of the table, in the format you want by clicking the format (csv, pdf, excel) you need.


How do I do a Re-Order Report on Posibolt?

The Reorder Report shows every product and its current quantity on hand and whether there are any on order, on transfer or on purchase. The available amount is calculated from these quantities and a reorder amount is then suggested.

  1. Log in to Posibolt and navigate the Posibolt Main Menu, on the right side you will see Menu options 
  2. Select Stock in the Main menu, navigate to the sub-menu, and then locate Reports, and then select the Re-Order Report option under Reports to be redirected to the Re-Order Report screen.
  3. Select the filters that you want to populate in your report, enter in a barcode if you want a specific product, including every other field needed, and click search to generate the report.

How do I do a Slow Moving Item report and/or Fast Moving Report on Posibolt? 

This is a report that shows stock items selling fast and those selling slow.

  1. Log in to Posibolt and navigate the Posibolt Main Menu, on the right side you will see Menu options 
  2. Select Stock in the Main menu, navigate to the sub-menu locate Reports, and then select the Slow Moving item report or Fast Moving Item Report option under Reports to be redirected to either Slow Moving item report or Fast Moving Item Report screen depending on which you have selected

Fast Moving Items

This is a report that lists the total quantity sold for the products over the period in ascending order, The report will display of Name, UOM, Bar-code, and Net Qty sold in the form of a table




Slow-moving:

This is defined as stock-keeping units (SKUs) that have not shipped in a certain amount of time, such as 90 or 180 days, and merchandise that has a low turn rate relative to the quantity on hand. 



How do I generate the Stock Adjustment History on Posibolt?

Stock Adjustment History is a report that shows you previous stock adjustments.

  1. Log in to Posibolt and navigate the Posibolt Main Menu, on the right side you will see Menu options 
  2. Select Stock in the Main menu, navigate to the sub-menu and then locate Reports, and then select the Stock Adjustment History option under Reports to be redirected to the Stock Adjustment History screen.
  3. Enter your search parameter by clicking search by (Order number or Movement date) and enter in any other extra filters you want to use to refine your search, and you can checkmark the detailed check box to generate a more detailed report. Click Search
  4. All the adjustments will appear accordingly and you can export the history in the format you want (CSV, PDF, or Excel) at the bottom right of your search results.


How do I generate the Stock Transfer History on Posibolt?

Stock Transfer History is a report that shows you all the previous stock transfers recorded on Posibolt.

  1. Log in to Posibolt and navigate the Posibolt Main Menu, on the right side you will see Menu options 
  2. Select Stock in the Main menu, navigate to the sub-menu and then locate Reports, and then select the Stock Transfer History option under Reports to be redirected to the Stock Transfer History screen.
  3. Enter your search parameter by clicking search by (Order number or Movement date) and enter in any other extra filters you want to use to refine your search, and you can checkmark the detailed check box to generate a more detailed report. Click Search
  4. All the adjustments will appear according to your filters and you can export the history in the format you want (CSV, PDF, or Excel) at the bottom right of your search results.
  5. You can edit or delete the individual stock transfers that were previously done.


How do I generate the Shipment Report on Posibolt?

Shipment Report is a report that shows you all the previously scheduled and/or completed shipments to customers recorded on Posibolt.

  1. Log in to Posibolt and navigate the Posibolt Main Menu, on the right side you will see Menu options 
  2. Select Stock in the Main menu, navigate to the sub-menu and then locate Reports, and then select the Shipment Report option under Reports to be redirected to the Shipment Report screen.
  3. Enter your search parameter by clicking search by (Order number or Movement date etc.) and enter in any other extra filters you want to use to refine your search, you can input a specific Customer Name or leave it open for a general report then click Search and take extra consideration to filter.
  4. Click the Document Number you want, and you can export the history in the format you want (CSV, PDF, or Excel) at the bottom right of your search results.



How do I generate a Bulk Discounts Report on Posibolt?

Bulk Discounts report shows items that a discount or promotion group have been applied to. This will also be applied to active and inactive items.

  1. Log in to Posibolt and navigate the Posibolt Main Menu, on the right side you will see Menu options 
  2. Select Stock in the Main menu, navigate to the sub-menu and then locate Reports, and then select the Bulk Discounts Report option under Reports to be redirected to the Bulk Discounts Report screen.
  3. Enter your search parameter and click Search
  4. A list of Items on Bulk discounts will appear and you will be able to see a list of discounts.

How do I generate an Attribute Stock Report on Posibolt?

Attribute Stock report is a report that shows a list of attributes based stock items in your warehouse(s)

  1. Log in to Posibolt and navigate the Posibolt Main Menu, on the right side you will see Menu options 
  2. Select Stock in the Main menu, navigate to the sub-menu and then locate Reports, and then select the Attribute Stock Report option under Reports to be redirected to the Attribute Stock Report screen.
  3. Enter your search parameter by clicking search by (barcode or SKU etc.) and enter in any other extra filters you want to use to refine your search. You can add more filters by clicking the small tag on the top right side of the screen and it will show more details to refine your search results, then click Search
  4. You can export the history in the format you want (CSV, PDF, or Excel) at the bottom right of your search results.

How do I generate a Stock Transfer Requisition Report on Posibolt?

Stock Transfer Requisition Report is a report that shows stock requisition between internal warehouses 

  1. Log in to Posibolt and navigate the Posibolt Main Menu, on the right side you will see Menu options 
  2. Select Stock in the Main menu, navigate to the sub-menu to locate Reports, and then select the Stock Transfer Requisition Report option under Reports to be redirected to the Stock Transfer Requisition Report screen.
  3. Select the filters that you want to populate in your report, and click search to generate the report. 
  4. You can export the history in the format you want (CSV, PDF, or Excel) at the bottom right of your search results.


How do I generate a Stock Analysis Report on Posibolt?

Stock Analysis Report is a report that shows you a summary of your stock so you may analyze it. It is similar to a Quick Stock Report, but instead, the Quick Stock Report can be specific to one product and it gives you a summary of the analysis.
  1. Log in to Posibolt and navigate the Posibolt Main Menu, on the right side you will see Menu options 
  2. Select Stock in the Main menu, navigate to the sub-menu to locate Reports, and then select the Stock Analysis Report option under Reports to be redirected to the Stock Analysis Report screen.
  3. Select the filters that you want to populate in your report (barcode, product name, etc), and click Search to generate the report. 
  4. You can export the history in the format you want (CSV, PDF, or Excel) at the bottom right of your search results.


How do I generate a Stock In/Out Report on Posibolt?

Stock In/Out Report this is a report similar to stock analysis but gives you movement-specific information on your report.
  1. Log in to Posibolt and navigate the Posibolt Main Menu, on the right side you will see Menu options 
  2. Select Stock in the Main menu, navigate to the sub-menu to locate Reports, and then select the Stock In/Out Report option under Reports to be redirected to the Stock In/Out Report screen.
  3. Select the filters that you want to populate in your report (barcode, product name, etc), and click search to generate the report. 
  4. You can export the history in the format you want (CSV, PDF, or Excel) at the bottom right of your search results.



How do I generate a Stock Position Report on Posibolt?

Stock position report is a report that shows you the current stock on hand and shows extra details on the costs etc.
  1. Log in to Posibolt and navigate the Posibolt Main Menu, on the right side you will see Menu options 
  2. Select Stock in the Main menu, navigate to the sub-menu to locate Reports, and then select the Stock Position Report option under Reports to be redirected to the Stock Position Report screen.
  3. Select the filters that you want to populate in your report (barcode, product name, etc), and click Search to generate the report. 
  4. You can export the history in the format you want (CSV, PDF, or Excel) at the bottom right of your search results.


How do I do a Package Report on Posibolt?

Package Report refers to a report that shows details about a product that has been shipped or is shipped, this allows you to see where the package is headed to as well.
  1. Log in to Posibolt and navigate the Posibolt Main Menu, on the right side you will see Menu options 
  2. Select Stock in the Main menu, navigate to the sub-menu to locate Reports, and then select the Package Report option under Reports to be redirected to the Package Report screen.
  3. Select the filters that you want to populate in your report and click search to generate the report. 
  4. You can export the history in the format you want (CSV, PDF, or Excel) at the bottom right of your search results.
